Office Manager & Receptionist

The Office Manager & Receptionist is responsible for general office management, reception, and administrative support for the local office.

This position is located in Waltham, MA.

Key Responsibilities

  • Provide a professional, helpful and cheerful demeanor to ensure a positive impression and experience for all guests and employees
  • Perform all office management duties such as:
    • managing efficient day-to-day office operations
    • being the primary BlueSnap contact for building management
    • ensuring appropriate office security
    • implementing appropriate office procedures
    • managing vendor relationships and contracts (i.e. phone system, office supply, office equipment, IT equipment, food and beverage supplies, etc.)
    • managing the purchase and maintenance of office equipment (i.e. furniture, IT equipment, telephones, plants, etc.)
    • tracking and replenishing office supply and kitchen supply inventory
    • ensuring all common office areas (i.e. reception area, conference rooms, kitchen, copy area, etc.) are generally clean and presentable
    • overseeing on-boarding for new employees, including desk setup, telephone equipment, computer, building and office access, etc., as well as termination activities for departing employees (collecting building cards and/or keys, equipment, etc.)
    • managing future office relocations including securing the appropriate work space, managing the construction process and moving the employee base as appropriate
  • Perform all receptionist duties such as:
    • meeting and greeting guests
    • receiving and directing incoming phone calls
    • accepting and distributing deliveries and incoming mail
    • assisting employees with outgoing mail
  • Provide general administrative support to the Waltham office team such as:
    • assisting management with travel arrangements, expense reimbursement and other administrative tasks
    • assisting with the production of presentations and other business related deliverables
  • Provide HR & Legal Support:
    • assisting with the onboarding of new employees, training administration, stock administration and other HR duties
    • organize office events and celebrations
    • assisting the Legal Department with administrative, organizational and filing tasks as well as contract management duties and legal-related research
    • assisting with the maintenance of the company’s worldwide legal entity and filing requirements
    • interfacing with outside legal counsel, the landlord and registered agent service
  • Additional responsibilities as required

Required Skills

  • Ability to work Monday through Friday, 8:00am to 4:30pm
  • Minimum of 1 year working in a support role in an office environment
  • Proficiency with Microsoft Office Suite
  • Professional demeanor and appearance with ability to handle confidential/sensitive information with discretion
  • Excellent verbal and written communication skills
  • Ability to prioritize and demonstrate excellent time management
  • Proven record of providing excellent internal and external customer service
  • Ability to effectively work with vendors, employees, and management to ensure the smooth operation of the administrative functions of the office
  • Ability to handle multiple projects simultaneously with a focus on quality
  • Notary public or open to becoming a notary
